Position Overview

We are seeking an Administrative & Operations Coordinator to support the day-to-day operations of the firm. This role is critical to ensuring smooth internal operations, professional client interactions, accurate billing, and effective coordination across projects. The ideal candidate is organized, proactive, and comfortable working in a fast-paced consulting environment.

Key Responsibilities


Administrative & Operations Support

  • Manage calendars, meetings, travel arrangements, and internal coordination

  • Maintain organized project files, contracts, and internal documentation

  • Support onboarding and offboarding of staff and contractors


Client & Business Support

  • Assist with client communications, meeting logistics, and follow-ups

  • Support proposal preparation, contract administration, and document formatting

  • Maintain client contact lists and CRM records


Billing & Financial Coordination

  • Support invoicing, time tracking, and expense reporting

  • Coordinate with project managers to ensure accurate and timely billing

  • Track contract milestones, deliverables, and payment status


General Office & Team Support

  • Serve as a central point of contact for internal administrative needs

  • Support firm-wide initiatives, events, and internal processes

  • Identify opportunities to improve administrative workflows and systems


Qualifications

  • Bachelor’s degree or equivalent professional experience

  • 3+ years of experience in administrative, operations, or professional services support

  • Strong organizational and time-management skills

  • Excellent written and verbal communication skills

  • Proficiency with common tools such as Microsoft Office, Google Workspace, and project or billing systems

  • Experience supporting consulting, engineering, or professional services firms is a plus

  • Ability to work independently, manage multiple priorities, and handle sensitive information professionally
